Refund & Cancellation Policy

This Refund & Cancellation Policy (“Policy”) applies to all Subscriptions to the PatternLab platform at https://scheduler.patternlab.ai, operated by Patternlab Agents Private Limited (“PatternLab”, “we”, “us”, or “our”), with registered office at 3rd Floor, Pavani Equinox, 8/A, Sravanthi Nagar, ICRISAT Colony, Jubilee Hills, Hyderabad, Telangana – 500045, India. This Policy forms part of, and should be read together with, the PatternLab Terms of Service. Capitalized terms used but not defined in this Policy (including “Platform”, “Platform Outputs”, “Subscription”, and “Customer Data”) have the meanings given to them in the Terms of Service. This Policy is governed by the laws of India, and disputes are subject to the exclusive jurisdiction of the courts at Hyderabad, Telangana, India, consistent with the Terms of Service. Payments are processed through Razorpay using recurring card payments.

1. General Principle — Non-Refundable Fees

1.1. PatternLab is an enterprise B2B software subscription service. All subscription fees are non-refundable, except in the limited circumstances expressly set out in Section 2 or where a refund is required by applicable law.

1.2. By subscribing, you acknowledge that you are purchasing access to the Platform for the applicable billing period and that fees are earned upon commencement of that period.

2. Limited Exceptions

2.1. PatternLab will provide a refund only in the following circumstances:

(a) Duplicate payments — where you were charged more than once for the same Subscription for the same period;

(b) Incorrect billing — where you were charged an incorrect amount due to a billing error attributable to PatternLab;

(c) Failure to provision — where PatternLab charged you but failed to provision the purchased Subscription and is unable to resolve the failure within a reasonable time after you report it; or

(d) Required by law — where a refund is required under applicable law.

2.2. Any refund under this Section is limited to the amount incorrectly or unnecessarily charged, or the portion of the fee for the service that was not provided, as applicable.

3. Circumstances Not Eligible for a Refund

3.1. Without limiting Section 1, refunds will not be provided:

(a) because you are dissatisfied with the Platform or its outputs;

(b) because you choose not to use, or stop using, the Platform;

(c) because implementation, onboarding, or configuration takes time or requires your cooperation;

(d) for customer-side configuration issues, ERP or third-party integrations, network or internet failures, or incorrect or improper use of the Platform;

(e) for outcomes of business, production, procurement, inventory, scheduling, commercial, or financial decisions made using the Platform or Platform Outputs; or

(f) for unused time remaining in a billing period following cancellation.

4. Platform Availability

4.1. Service interruptions do not automatically create any entitlement to a refund. In the event of an interruption, PatternLab will use commercially reasonable efforts to restore service.

4.2. If PatternLab determines, acting reasonably and in good faith, that it is unable to provide the subscribed service due solely to PatternLab’s fault, PatternLab will determine the appropriate remedy — a subscription extension for the affected period, service credits, or a refund — acting reasonably and in good faith, and unless otherwise required by law. Such remedy shall be your sole and exclusive remedy for the unavailability.

5. Refund Requests and Timeline

5.1. To request a refund under Section 2, contact support@patternlab.ai with your account details, the transaction date and amount, and a description of the issue. Refund requests must be submitted within thirty (30) days of the applicable charge.

5.2. Refund requests are processed as follows:

• Review: refund requests are reviewed within 10 business days;
• Initiation: approved refunds are initiated within 10 business days; and
• Settlement: banks and payment providers may take an additional 5–10 business days to complete processing.

5.3. Approved refunds are issued to the original payment method through Razorpay. PatternLab is not responsible for delays caused by Razorpay, banks, or card networks.

5.4. PatternLab may decline any refund request that involves fraud, abuse, misuse, violation of the Terms of Service, or attempts to circumvent subscription restrictions.

6. Cancellation

6.1. You may cancel your Subscription at any time through your account or by contacting support@patternlab.ai.

6.2. Cancellation stops future renewals only. Your current Subscription period remains active until its expiry, after which access ends.

6.3. No pro-rata refunds are provided for the unused portion of a current billing period following cancellation.

6.4. Cancellation does not cancel or waive any outstanding invoices, and does not release you from payment obligations incurred before the effective date of cancellation.

7. Chargebacks

7.1. If you have a billing concern, please contact PatternLab first at support@patternlab.ai — most issues are resolved quickly and directly.

7.2. PatternLab reserves the right to suspend your account while any fraudulent or disputed chargeback is investigated, and to contest chargebacks that are inconsistent with this Policy or the Terms of Service.

7.3. Where permitted by applicable law, PatternLab may recover from you any chargeback fees, penalties, and reasonable costs of collection incurred in connection with a disputed or fraudulent chargeback.

8. Changes to this Policy

8.1. PatternLab may update this Policy from time to time. The version of this Policy in effect at the time of a given charge applies to that charge. Material changes will be notified within the Platform or by email.
