Introduction

Patternlab Agents Private Limited (“PatternLab”, “we”, “us”, or “our”), operator of the website https://patternlab.ai and the application https://scheduler.patternlab.ai (together, the “Services”), values your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you use our Services, including our WhatsApp integration. By using our Services, you agree to the practices described in this Privacy Policy. Our Services are intended for businesses and commercial organizations; this Policy should be read together with our Terms of Service.

1. Scope and Our Role

This Policy covers personal information about website visitors, account users, and business contacts, for which PatternLab acts as the data fiduciary/controller.

Separately, business and operational data that a customer uploads to or generates within the application (“Customer Data”, as defined in the Terms of Service) is processed by PatternLab on the customer’s behalf and on its instructions, as a data processor, in accordance with our Terms of Service. Where Customer Data contains personal information of a customer’s personnel or contacts, the customer is responsible as the controller of that data.

2. Information We Collect

• Personal Information: name, email address, phone number, business/organization name and role, account credentials, and any other information you provide when signing up, subscribing, or contacting us.
• Usage Data: information about how you interact with our Services, such as IP address, device and browser type, access times, pages viewed, and log data.
• WhatsApp Integration Data: when you use our WhatsApp integration, we may process basic profile details (e.g., phone number, name) and message content strictly to deliver the requested service. This integration operates through the WhatsApp Business Platform and is also subject to WhatsApp’s/Meta’s own terms and privacy practices.
• Payment Information: subscriptions are processed by our payment provider, Razorpay. We do not collect or store full card details; these are handled by Razorpay under its own terms and security standards. We may retain limited billing records (such as invoices and transaction references).
• Customer Data: business and operational data you or your users upload to, or generate within, the application — for example, production data, production orders, manufacturing schedules, inventory data, procurement data, supplier information, machine telemetry, IoT sensor data, equipment-performance data, ERP integration data, uploaded spreadsheets and documents, audit logs, planning data, forecasting data, and operational metrics. Customer Data is handled as described in Section 1 and our Terms of Service.

3. How We Use Your Information

We use personal information to:

• provide, operate, maintain, and improve our Services;
• enable communication through WhatsApp or other integrated platforms;
• process subscriptions, billing, and payments;
• respond to your inquiries and provide customer support;
• protect the security and integrity of our Services and prevent fraud or abuse; and
• comply with our legal obligations.

We do not sell, rent, or trade your personal information to third parties.

4. AI, Optimization, and Analytics Processing

4.1. Customer Data may be processed using AI models, optimization engines, statistical models, forecasting algorithms, scheduling algorithms, and analytics engines, solely to provide Platform functionality — including forecasts, recommendations, planning, scheduling, analytics, optimization, dashboards, and reports — and to maintain, secure, and improve the Platform.

4.2. PatternLab does not use identifiable Customer Data to train publicly available AI models or services. Any processing for model or product improvement is limited to providing and improving the Platform for you, and to the aggregated and anonymized data described in Section 5.

5. Aggregated and Anonymized Data

5.1. PatternLab may generate anonymized and aggregated datasets that cannot reasonably be used to identify any customer, user, company, or individual.

5.2. Such datasets may be used for software improvements, AI improvements, analytics, benchmarking, performance optimization, research, and statistical analysis.

5.3. PatternLab does not sell Customer Data.

6. Legal Bases for Processing

We process personal information on the basis of your consent, the performance of a contract with you or your organization, our legitimate business interests, and compliance with legal obligations, consistent with India’s Digital Personal Data Protection Act, 2023 (“DPDP Act”) and other applicable law. Where we rely on consent, you may withdraw it as described in Section 12.

7. Cookies and Similar Technologies

Our website may use cookies and similar technologies to operate the site, remember preferences, and understand usage. You can control cookies through your browser settings; disabling some cookies may affect functionality.

8. Data Sharing and Disclosure

We share information only in the following circumstances:

• Service Providers: with trusted third parties that help us deliver the Services — including cloud hosting and infrastructure providers, Razorpay (payments), the WhatsApp Business Platform/Meta (messaging), and analytics and support tools — who are permitted to use the information only to provide services to us.
• Legal Requirements: where required by applicable law, regulation, or valid legal process, or to protect our rights, safety, and property or those of others.
• Business Transfers: in connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to this Policy.

9. Payment Processing

We use third-party payment gateways (such as Razorpay) to process payments made through our Services. In connection with the processing of such payments, we do not retain your financial details (such as credit card numbers). All such information is provided directly to our third-party processor, Razorpay, whose use of your personal information is governed by their privacy policy.

10. International Data Transfers

Our providers may process or store information in locations outside your state or country. Where personal information is transferred across borders, we take steps to ensure it is handled consistently with this Policy and applicable law.

11. Data Retention

We retain personal information while your account remains active and, thereafter, for a commercially reasonable period as necessary for legal compliance, dispute resolution, backups, fraud prevention, security, enforcement of our agreements, and operational continuity. Customer Data is retained and deleted in accordance with our Terms of Service.

12. Your Rights

Depending on your location and applicable law, including the DPDP Act, you may have the right to:

• access, correct, complete, or update your personal information;
• request erasure of your personal information;
• withdraw consent to processing;
• opt out of marketing communications; and
• nominate another individual to exercise your rights in the event of death or incapacity, and to have grievances addressed.

13. Grievance Redressal

If you have a concern or complaint about how your personal information is handled, you may contact our Grievance Officer at support@patternlab.ai. We will acknowledge and address grievances in accordance with applicable Indian law.

14. Customer Responsibilities

You are responsible for ensuring that you have all required permissions, authorizations, and legal rights to upload and process any personal or business information — including employee, supplier, operational, and business information — through the Platform, and for providing any notices and obtaining any consents required under applicable law in respect of such information.

15. Data Security

We take reasonable administrative, technical, and physical safeguards to protect information from unauthorized access, loss, misuse, or alteration. These include, where applicable, encryption in transit, encryption at rest, authentication, role-based and least-privilege access controls, logging, monitoring, and secure backup practices. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

16. Children’s Privacy

Our Services are intended for businesses and are not directed to individuals under the age of 18, and in any event not to children under the age of 13 (or the minimum age in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us and we will delete it.

Our Services may contain links to third-party websites or services. We are not responsible for the privacy practices or content of those external sites, and we encourage you to review their policies.

This Privacy Policy is governed by and construed in accordance with the laws of India and is to be read together with our Terms of Service. Any dispute arising out of or relating to this Policy is subject to the exclusive jurisdiction of the courts at Hyderabad, Telangana, India, without prejudice to any rights you may have under the Digital Personal Data Protection Act, 2023 or other applicable law.
